Zoom Phone: Voicemail
Voicemail with Zoom is no different than voicemail has been for the past umpteen decades, someone calls your Zoom number and leaves a message. This article outlines how to interact with voicemail messages and set a custom Greeting if you desire.
What happens after someone leaves a voicemail in Zoom?
- You receive an email from Zoom within 5-10 minutes
- That email includes:
- A text transcription (provide the system can transcribe a message so it actually makes some sense)
- An attached MP3 audio file
What about a Greeting?
There is no official policy that says you must have a custom Greeting. The default Greeting is a very short and professional "We're sorry, the person/number you are calling is unavailable". If you wish to set a custom Greeting please continue reading.
PRO TIP: A caller is more likely to leave a message if you do customize your Greeting, as your voice is more natural sounding than a technology-generated Greeting
Create a Custom Greeting
You can record a custom Greeting from your Zoom Online Profile but we recommend the below steps to avoid odd pauses, dips in audio, etc.
PRO TIP: before customizing your Greeting: open Word, type out the greeting you want and then read it as typed during Step 2
- Call yourself
- When prompted to leave a message leave a message that is your desired custom greeting
- After a few minutes you'll receive the MP3 in your Outlook Inbox
- Right-click the MP3 attachment and save it to your computer (remember where you save it!)
Setting your Custom Greeting
Now that you've saved the previous mentioned MP3 you need to upload it to Zoom Online to set it as your greeting.
- Go to your Zoom Phone Settings, HERE
- The above link will take you to your Phone Settings tab
- Scroll to Call Handling > Business Hours section
- Look for Greeting & Leave voicemail instruction

- Click the Edit > then Add Audio
- Click Upload tab
- Give your Greeting a unique "Asset Name"
- Leave "Category" and "Language" as-is
- Click the blue Upload button
- Locate and click your file, click Open
- Click the Play arrow to preview
- If you're happy with the greeting click Use the Audio
